Dingotek Privacy Policy

Last updated: 25 October 2026

The short version

  • We only collect what we need to build and look after your website, email and domain.
  • We never sell your information. Not to anyone, not ever.
  • We keep your details for at least 2 years after you leave, so you can come back without starting from scratch. Billing records are kept for at least 7 years, because the law requires it.
  • Want to see what we hold, fix something, or have your details deleted? Just ask.
  • We'll only send you marketing if you've said yes.

The rest of this page explains the details in plain English.

1. Who we are

We're Dingotek Pty Ltd (ABN 48 692 798 333), based in Western Australia. "We" and "us" means Dingotek. "You" means anyone whose information we handle, whether you're a client, you've enquired with us, or you've visited our website.

As a small business, we may not be legally required to follow the Australian Privacy Principles. We aim to handle your information in line with them anyway, because it's the right thing to do.

2. What we collect

When you enquire or sign up:

  • Your name, email address and mobile number
  • How you'd prefer us to contact you
  • Your business name, the type of business you run, and your ABN
  • Your street address. We need it to register your domain in your name and for your invoices. It never appears on your website.

To build and run your website:

  • Your business details: services, service area, opening hours and business address (if you share one)
  • The answers you give in our website details form, such as your story, licences, common customer questions, and links to your existing website, social media and reviews
  • Your website content: text, photos, your logo, and any photos of you or your team, whether you upload them or email them to us
  • The details needed to register your domain, which the domain registry requires
  • A copy of the answers you give in our sign up forms, including the website address and email address you confirm

If you start a form but don't finish it, we keep what you've entered so far. That lets you pick up where you left off, and lets us send you a reminder to finish it.

To take payment:

  • Your card details are collected and stored by our payment provider, Stripe. We never see or store your full card number.
  • We keep a record of what you've paid and when

When we talk:

  • The emails, texts and messages we exchange, including quotes you approve

If you use our optional extras:

  • Missed call text back: The phone numbers of people who call your business when you miss the call, so our system can text them back for you. We only use these numbers to send that text.
  • Google Business Profile setup: We have manager access to your profile while we look after it. You stay the owner.

When you visit our website:

  • Anything you type into our forms
  • Information collected by cookies and similar technology (see section 5)

3. Why we collect it

We use your information to:

  • Build, host and look after your website, email and domain
  • Register your domain in your name, as the domain registry requires
  • Check your ABN is active, so the business details on your website are correct
  • Take payments and keep proper financial records
  • Talk to you about your service, answer your questions and make the changes you ask for
  • Remind you to finish your sign up forms if you haven't completed them
  • Keep backups, so your site can be restored if something goes wrong
  • Let you come back later without starting from scratch
  • Meet our legal obligations

Marketing: we'll only send you promotional emails or texts if you've told us that's okay. Every message has an easy way to unsubscribe. Service messages, like a failed payment notice or a reminder about your domain, aren't marketing, so you'll still get those while you're a client.

4. Who we share it with

We never sell your information.

We use trusted providers to run our service, and they only get what they need to do their part:

  • Our website and customer management platform hosts your website and keeps our client records.
  • Microsoft runs your business email (Microsoft 365). We supply and manage your mailbox through Microsoft's reseller program, via our suppliers Synergy Wholesale and Microsoft's authorised distributors (such as rhipe and Nexigen). This gives us administrator access to your Microsoft 365 account settings, so we can set up your mailbox, reset your password and keep things running. We don't access or read your emails.
  • Google stores our files and backups.
  • Google's address search suggests addresses as you type into our forms.
  • The Australian Business Register (ABN Lookup) receives only your ABN, so we can confirm it's active and fill in your business name for you.
  • Our domain provider and the .au domain registry register and manage your domain. The registry requires the domain owner's name and contact details.
  • Our payment provider, Stripe, handles card payments securely.
  • Text message providers deliver texts, including missed call text backs.
  • Google Analytics and Meta (Facebook and Instagram) help us understand how people use our website and measure our advertising (see section 5).

Some of these providers store information outside Australia, including in the United States. We choose well established providers with strong security.

We'd only share your information with anyone else if the law requires it, or if you've asked us to.

5. Cookies, analytics and advertising

Our website uses cookies and similar technology. Here's what they do:

  • Keep the website working properly, for example remembering what you've typed into a form so you can finish it later.
  • Google Analytics shows us, in general terms, how people find and use our website, such as which pages are popular. It doesn't tell us who you are.
  • The Meta Pixel (from Facebook and Instagram) helps us see whether our ads are working, and lets us show our ads to people who've visited our website. This means Meta may use cookies to show you Dingotek ads on Facebook or Instagram.

You're in control:

  • You can block or delete cookies in your browser settings. The website will still work, though some parts may not remember you.
  • You can opt out of Google Analytics with Google's opt out tool.
  • You can manage the ads Meta shows you in your Facebook ad preferences.

6. How we keep it safe

  • Your information is stored with the providers above, and in secure backups we keep ourselves.
  • Our accounts are protected with two step login.
  • Our backup drives are encrypted.
  • Only Dingotek can access your records.

No system is 100% secure, but we take it seriously. If we ever discover a breach that affects your information, we'll tell you promptly and let you know what we're doing about it.

7. How long we keep it

  • Your details and website content: at least 2 years after you leave us. That's what lets us rebuild your site quickly if you ever come back.
  • Billing and payment records: at least 7 years, because Australian law requires companies to keep financial records that long.

If you'd like your details deleted sooner, just ask. We'll delete everything except what the law requires us to keep.

8. Seeing, fixing or deleting your information

You can ask us at any time to:

  • See the information we hold about you
  • Fix anything that's wrong or out of date
  • Delete your details, except billing records the law requires us to keep

Just email or call us. We'll reply within 2 business days, and there's no charge.

9. Your website's visitors

The enquiry forms on the website we build for you send your customers' details to you, so you can get back to them. We host the website and store those enquiries as part of running it, but we don't use your customers' information for our own purposes, and we never contact them ourselves.

10. Changes to this policy

If we make a meaningful change to this policy, we'll email our clients before it takes effect. The latest version is always on this page.

11. Questions or concerns

If you have a question, or you're unhappy with how we've handled your information, please talk to us first. We'll do our best to sort it out quickly.

If you're still not happy, you may be able to contact the Office of the Australian Information Commissioner.
